The business team utilizes a diverse range of tools. A comprehensive overview of the application and limitations of each tool can be found in the linked charter.
Administrative Tools
Team Gmail: This platform serves as the primary channel for external and administrative communications, ensuring streamlined interactions.
Team Google Drive: Initially linked to the team email for business activities, this Google Drive should have its usage minimized going forward to enhance accessibility and reduce reliance on non-Waterloo emails.
Team Outlook Email: Currently under development, this tool will facilitate the transition of administrative workflows into the Microsoft suite, promoting efficiency.
Team Outlook OneDrive: Associated with the team email, this OneDrive account will not be employed for storing essential or final team data that is already available on Teams storage.
Bitwarden: This secure storage solution is essential for managing team account access safely.
Management Tools
Jira / ClickUp: These platforms are employed for project management and task tracking, aiding in the organization of team efforts.
Discord: This tool fosters team-wide communications, enhancing collaboration and information sharing.
Microsoft Teams: It allows for the storage of operational documents, member-specific training materials, and both external and internal executive documentation.
Documentation Tools
Confluence: This platform serves as the repository for internal documentation, detailing the team's history and providing open access to facilitate the onboarding of new members.
Microsoft Word: This tool is utilized for creating executive-style reports and documents that require restricted public access, such as documented member training feedback.
Media and Outreach Tools
Team Website: A platform dedicated to providing publicly available information about the team and its activities.
Team Instagram: A social media channel aimed at outreach to UW students and other collegiate teams, as well as individuals interested in our initiatives.
Team LinkedIn: This platform is utilized for professional media outreach, updates, and showcasing the team’s accomplishments.
Team TikTok: A platform designed for engaging and entertaining social media outreach.
Marketing GitHub: This supports software development initiatives related to team media outreach, such as the team website.
Canva: A versatile tool for designing and generating graphical content, its usage within the team is flexible, allowing users to select the tools available in Canva that best meet their media development needs. According to this charter, any completed designs in Canva must be converted to an equivalent format for storage on the Microsoft Teams Drive, whether in an editable or final product format (e.g., PPTX vs. PDF for presentations).
Microsoft PowerPoint: This will be our standard format for storing modifiable team media, ensuring consistency in presentations.
